By booking any type of language course at NovaMova in any location, either with or without accommodation, you indicate that you have read and agree to the Terms and Conditions, including the cancellation, postponement and refund policy.

  1. Registration and Payment

1.1. In order to participate in the language program, it is essential to register on the site and fill out an application form no later than 2 weeks prior to the start of classes. If registration occurs after said time, School staff will nevertheless consider your application and do everything possible to ensure that your program and accommodations are arranged and provided in the best possible fashion, but we cannot guarantee that your requests will be fulfilled exactly.

1.2. If the student has studied Russian at an earlier date, he or she should complete the test.

1.3. Language course with or without accommodation is considered to be booked after deposit of 100.00 EUR is received.

1.4. Deposit will not be refunded under any circumstances.

1.5. The balance of the course and accommodation fees must be paid no later than the first day of studies.

1.6. Textbooks and visual aids are to be paid for separately.

 

  1. Language Courses

2.1. If a student enrolled for group lessons is the only student present on the day of instruction, the School maintains the right to provide 2 individual lessons instead of 4 group lessons at the same group cost without prior notification of the student.

2.2. The School maintains the right to transfer the student to a more appropriate course or group, if the student’s level of fluency does not correspond to the course reserved.

2.3. The School maintains the right to substitute or replace a teacher in case of necessity without prior notification of the student.

2.4. Group course fees can’t be transferred to individual lessons under any circumstances.

2.5. The School reserves the right to alter the timetable and/or transfer students from one class to another, from one time of study to another.

 

  1. Cancellation

3.1. Missed group lessons are not carried over to a later date, nor are they otherwise compensated or refunded.

3.2. All the cancelations are to be done in written form (mail or sms). In case of cancellation of individual lessons with more than 24 hours’ notice, the class is carried over to another day with the agreement of the instructor for no extra fee. If the lesson is canceled less than 24 hours before the class, it’s considered to be taken and charged for in full.

 

  1. Postponement

4.1. Start date for a course can be postponed at no charge with not less than 7 calendar days prior notification.

4.2. In case the course is postponed with notification less than 7 calendar days, there is a charge of 50.00 EUR.

4.3. If Student needs to take a break in the course, such breaks are available for full calendar weeks only (Monday through Friday) and must be announced to School’s administration no later than 2 working days before such a break.

4.4. If the Student postpones his\her studies, the prepaid funds can be used within 12 calendar months from the original start date.

 

  1. Early Termination of Program

5.1. It is essential to immediately notify the administration of the School in written form of early termination of the program.

5.2. In the case of early termination of a program of less than two weeks in length, payment for the course is collected in full.

5.3. In the case of early termination of a program of more than two weeks in length, and notification within 5 calendar days of termination, the cancellation fee will consist of the cost of 30% of unused resources and/or instruction, but no less than 100.00 EUR, as well as all banks fees.

5.4. In the case of early termination of a program of more than two weeks in length and notification is not given or given on the day of termination, the cancellation fee will consist of the cost of 70% of unused resources and/or instruction, but no less than 200.00 EUR, as well as all bank fees.

5.5. Please note, that a refund will be processed within up to sixty calendar days.

5.6. Pp. 5.1-5.5 are applicable for the bookings proceeded directly. If the course is booked through any Partner agency, the refund policy of the agency will be applied. The refund will be proceeded through the agency, not through NovaMova. We recommend to contact the agency immediately to settle this issue. 

 

  1. Changes to the Course of Study

6.1. The student has a right to change type and duration of the course at no charge with not less than 7 calendar days notification prior the start date. If notification is received after said time, School staff will nevertheless consider the change and do everything possible to accommodate it, but we cannot guarantee that your requests will be fulfilled exactly.

6.2. At any time during the course the student may add supplementary lessons, having informed the administration of the School of his or her intention. Such lessons will be added to the Student’s program as quickly as possible.

6.3. Supplementary lessons should be paid for no later than the following working day from the moment of their addition to the student’s program. If new lessons are held starting from the day of addition, they must be paid for before the beginning of said lessons.

 

  1. Program Extension

7.1. The student retains the option of prolonging the course of study. Advance notice (within two weeks of the proposed extension) guarantees a space in the student’s preferred group.

 

  1. Student Accommodations

8.1. In case of booking of any kind of accommodation, finding fee of 30.00 EUR is charged. This fee is non-refundable.

8.2. Accommodation fees are payable to the school and are never to be paid directly to the residence or host family.

8.3. Prices for accommodation are fixed on weekly basis, which means 6 nights from Sunday to Saturday (check-in - Sunday after 14.00, check-out - Saturday before 12.00). All the extra nights are to be paid additionally.

8.4. If the Student spends less than 6 nights in the accommodation any particular week, payment will be charged for the full week anyway.

8.5. All questions connected with payment for room and board with a family are resolved exclusively in conjunction with the School administration, with the exception of additional services not included in the cost of accommodation (extra laundry, phone usage etc.).

8.6. The student must reimburse the school or the host family for all inflicted damages prior to departure.

8.7. If the Student decides to change accommodation dates for any reasons, the School has to be informed at least 14 calendar days prior the planned arrival, otherwise the fee of 100 EUR will be charged.

 

  1. Early Departure

9.1. In the case of early termination of a stay of no more than two weeks, payment for accommodations is not returned.

9.2. In the case of early termination of a stay of more than two weeks in length and notification of no less than 7 calendar days, the cancellation fee will amount to 100 EUR, as well as all bank fees.

9.3. In the case of early termination of a stay more than two weeks in length and notification of less than 7 calendar days, or given on day of termination, the cancellation fee will amount to the cost of one week of accommodation, as well as all bank fees.

9.4. The student retains the right to prolong his or her stay with a family or in his or her preferred apartment, having informed the School administration of their desire in written form. In the case of a previously made reservation with the same family or for the same apartment by another student, the student prolonging his or her stay will be offered an alternative option within two working days from the moment of receipt of the request.

9.5. Pp. 9.1-9.4 are applicable for the bookings proceeded directly. If any type of accommodation is booked through any Partner agency, the refund policy of the agency will be applied. The refund will be proceeded through the agency, not through NovaMova. We recommend to contact the agency immediately to settle this issue.

 

  1. Transfers

10.1. In the case of airport transfer, it is essential to inform the School as soon as possible of the date and time of arrival, flight number and arrival terminal. Without receipt of this information airport transfer cannot be arranged.

10.2. All questions regarding payment for airport transfer are resolved exclusively with the School administration.

10.3. In case of change in the date of arrival, it is essential to notify the School administration no less than two days prior to original arrival date (if arrival has been postponed) or prior to new arrival (if arrival has been moved to an earlier date). Otherwise the arranged transfer will be charged to the student.

10.4. In case of delayed flight, it is essential to notify the School administration by phone call or sms. Otherwise the driver’s wait will be compensated at the student’s expense at a rate equal to 5 EUR/hour.

10.5. In case flight arrives earlier than scheduled, it is essential to notify the School administration by phone call or sms. Otherwise you will have to wait for the driver.

10.6. The transfer vehicle should arrive approximately 30 minutes after airplane landing. In case of prolonged wait by the driver of more than 30 minutes after scheduled arrival time, the wait will be compensated to the extent of one half-hour.

10.7. In the case of reservation of the airport transfer upon completion of the program, the pick-up will take place no later than 3 hours before departure.

10.8. The School remains the right to refuse in transfer (even it is booked and prepaid), if a student is in a state of intoxication or behave in an inadequate way.

 

  1. Excursions

11.1. The student can ascertain the schedule of group excursions with the School administration.

11.2. Payment for excursions must be made no less than 3 working days before the planned excursion is held. If the student registers less than three days prior to an excursion, payment must be made upon registration and no later than the start of the excursion.

11.3. Payment for said excursions includes the services of a qualified guide and the cost of entrance tickets and does not include the cost of lunch, souvenirs, travel to the place of the excursion (with the exceptions when it’s additionally stated), etc.

11.4. The School maintains the right to cancel an excursion, if a given group does not consist of four or more persons, with a refund of 100% of the cost of the excursion, or to substitute for it an individual excursion with the agreement of the student and upon payment of additional charges.

11.5. Routes of individual excursions can be altered according to the desires of the student. The cost of said excursions is agreed upon separately with the School administration.

 

  1. Receiving Complaints

12.1 All complaints and dissatisfaction should be lodged during the period of the student’s program at the school, either in person or in written form. Refunds will not be given and substitutions will not be made as a result of complaints and dissatisfaction registered with the administration after the termination of the student’s course of study.

12.2 Students fill out feedback forms at the end of the first and final weeks. If the student expresses dissatisfaction with any matter relating to the school or the student’s stay, then the student will be asked to fill out one more feedback form after one week. If any questions or concerns arise, students may inform any of the staff personally.

 

  1. Discipline

13.1. The student is required to observe the laws of Ukraine, maintain appropriate behavior befitting a place of study on School premises and boundaries, not to use or consume drugs or alcohol on school premises, and treat the property of the school with care. If damage is inflicted upon School property by the Student, he or she is obliged to fully compensate for the loss.

13.2. The student is required to behave sensibly, appropriately and reasonably at all times and show proper respect and consideration for other people.

13.3. It is strictly forbidden to eat in the classrooms at any time.

13.4. Should the Student violate the Ukrainian laws or show an indisputable breach of ethics, the School reserves the right to cancel the contract with the student and expel him/her from any courses. In this case no refund will be paid.

 

  1. Photos and Videos

14.1. The student agrees that photos and videos taken by the School may be used for promotional purposes. In case of objection the student must inform the School in advance in a written form.

14.2. For monitoring and controlling the quality of teaching in certain classes the school may run video surveillance. The school is bound to protect the confidentiality of all information and use it exclusively within the school for purposes of quality control. If the student does not register an objection within one 24-hour period after the receipt of said document, it will be understood that the student has agreed to this point of the present Terms and Conditions.

Student’s behavior rules in a host family

  1. A student participating in our program should not violate the laws of the country in which he/she is located. That eliminates the use of drugs and alcoholic beverages.
  2. A student is provided with:
  • A separate room.
  • A spare key to the apartment.
  • Internet access at the accommodation.
  • The student uses the bathroom every day as well as all of the family members. If in your host family there is no separate bathroom for guests, please don’t forget that all family members use the same bathroom. Especially in the mornings, check with the other family members for a convenient bathroom time slot.
  • Two washing loads per week are included. Each additional laundry is paid separately.
  • Cleaning in the student’s room as well as changing bed linen and towels (2 towels for 1 student) are done once per week.
  1. Students should be polite and treat others with respect. The school reserves the right to expel students (without financial compensation) whose behavior violates school rules and/or the program in which they are engaged.
  2. NovaMova school reserves the right to apply any disciplinary actions including expulsion for the following violations:
  • Use of drugs or alcohol; inappropriate behavior that carries risk to health safety and comfort of others; violation of laws, public order and/or internal regulations of the school.
  • The student prior to departure must reimburse the school or the host family for all inflicted damages.
  1. Living with a host family, a student should obey the following rules:
  • Respect your host family’s lifestyle and their privacy.
  • It is uncommon to invite friends/classmates to the host family, but if it is absolutely necessary, please ask your host for permission.
  • Keep your room in order.
  • Please take off your shoes when you enter the apartment.
  • Ask what time the family eats and try not to be late. Please agree with your host family on the timing of your breakfasts and dinners but respect their timetable.
  • Let your host know if you are planning to eat out.
  • You should be prepared to eat everyday local cuisine. It contains little you are not already familiar with, but be aware that Ukrainians eat potatoes, beetroot, cabbage, buckwheat and rice in rather large quantities but, as a rule, have very little green salad and vegetables or different fruits, as these are expensive, especially in winter and spring. There is a certain budget, therefore, if the student wants to eat something extraordinary, he is welcome to buy it on his own.
  • Please, inform your host family about your dietary restrictions and allergies.
  • Return home no later than 23.00. In any case, the student should notify the family about a late arrival.
  • The student uses hygiene means acquired at his own expense.
  • If you have any comments regarding your host family stay, please, inform us immediately.
